Privacy
What we do with your information, in plain English. If anything here is unclear, ask and we'll explain it.
Who we are
Duke Grooves Ltd is the data controller. Company number 13425069, registered in England and Wales. Registered office 81 Willowherb Road, Lyde Green, Emersons Green, Bristol, England, BS16 7FP.

What we collect
From everyone who books lessons
Name, email address, phone number, and the details of the lessons you book and pay for.
From parents booking for a child
Your child's first name, their age or date of birth, and anything you choose to tell us about how they learn.
Health and access needs, if you tell us any
Some parents tell us about a medical condition, a disability, or a diagnosis such as ADHD or autism, because it changes how the lessons should run. That's special category data under UK law and it gets stricter handling: we ask before we record it, we only record what changes the teaching, and it's never shared beyond the teacher who needs it.
From Press Play members
The Discord account name, the consent form responses, the practice videos posted in your family thread, and the messages posted in the community channels.
Safeguarding records
If a safeguarding concern is ever raised, we record what happened, when, who was told, and what was done. This is kept whether or not you agree to it, because we have to be able to account for it later.
From the website
Almost nothing. The site has no contact form and sets no cookies. We do count visits, using Cloudflare Web Analytics, so we can see which pages people actually read. It sets nothing on your device, doesn't fingerprint your browser and doesn't follow you to other sites, which means we can't tell one visitor from another or link a visit back to you. Everything else the page needs, including its typefaces, is served from our own domain. Booking goes through a Google Calendar link and enquiries through WhatsApp, and those do take you off our site and onto theirs, where their own privacy policy applies.
Cookies
We don't set any. The analytics we use is cookieless, so there's no banner on this site because there's nothing to consent to.
What we use it for, and the legal basis
| What we do with it | Lawful basis |
|---|---|
| Arranging, teaching and invoicing lessons | Contract |
| Contacting you about your lessons | Contract |
| Keeping the Press Play community running | Contract |
| Recording health or access needs that change the teaching | Explicit consent, and the special category condition at Article 9(2)(a) |
| Counting visits to this website | Legitimate interests, in knowing whether the site works |
| Keeping safeguarding records and reporting concerns | Legal obligation, and substantial public interest for safeguarding children |
| Keeping accounting and tax records | Legal obligation |
| Sending the email newsletter | Consent, withdrawable in one click on every email |
| Showing a student's playing publicly, in a video, on the site, or on social media | Consent, asked separately and never bundled with anything else |
| Insurance, and defending a claim | Legitimate interests |
Two things follow from this that are worth stating plainly. Where we rely on consent, you can withdraw it at any time and you don't have to give a reason. Where we rely on contract or legal obligation, we can't delete the record on request, and we'll tell you which one applies rather than leaving you guessing.
Who sees it
- Duke. He runs the admin for every student, so he sees bookings, payments, consent forms and lesson records whoever your teacher is. The exception is anything you email or say to Joe privately, which stays with Joe unless it has to be escalated.
- Joe, for his own students, and for anything you send him directly.
- Discord, if you're a Press Play member. Everything posted in the server sits on Discord's systems, in the United States, under their own privacy policy. Only post there what you're content to have on someone else's server.
- Google, for the booking calendar, the consent form and our email. In the United States.
- Stripe, for taster session payments. Stripe takes your card details directly; we never see or store a card number.
- GoCardless, for ongoing lesson payments by Direct Debit. They hold your bank details, we don't.
- Greenway Accounting, our accountants, who see invoices and payment records as part of the books.
- Cloudflare, who host the website, serve it to your browser, and provide the cookieless analytics that counts visits.
- Social services, the police, or the local authority designated officer, where a safeguarding concern requires it. This one doesn't need your permission and we wouldn't ask for it.
- Our insurer, if there's ever a claim.
We don't sell anything to anybody, and we don't share your details for anyone else's marketing.
Transfers outside the UK. Discord, Google and Stripe process data in the United States, under the UK extension to the EU-US Data Privacy Framework and their own standard contractual clauses. GoCardless and Greenway Accounting are UK-based. Cloudflare serves the site from whichever of its locations is nearest you.
How long we keep it
| What | How long | Why |
|---|---|---|
| Discord threads and posts, including practice videos | While you're a member, plus three months | Long enough to settle a question after someone leaves, short enough that video doesn't pile up |
| Consent and safeguarding records, student who joined under 18 | Until their 25th birthday | A concern about a period in childhood can surface many years later, and the consent form is what shows what was agreed at the time |
| Consent and safeguarding records, adult student | Six years after they leave | Matches the limitation period for a contract claim |
| Invoices and accounts | Six years | HMRC requirement |
| Newsletter subscription | Until you unsubscribe | |
| Enquiries that never became lessons | Twelve months |
Anything you upload to your own YouTube account stays yours. We're not the controller of it and we can't take it down for you.
Children
Under 13s can't hold a Discord account, so the parent holds the account and posts on the child's behalf. From 13 up the young person can have their own account if the parent prefers.
We ask the child to sign their own agreement alongside the parent's consent, because under the ICO's Children's Code their own view is something we're expected to take into account rather than something to work around.
We collect the least we can from a child: a first name, an age, and whatever the parent chooses to tell us.
Your rights
You can ask us to:
- Give you a copy of everything we hold about you or your child
- Correct anything wrong
- Delete it, where we're not required to keep it
- Stop or restrict a particular use
- Object to a use we base on legitimate interests
- Hand it over to you or someone else in a portable format
- Withdraw consent you gave earlier, at any time, without giving a reason
Ask at duke@dukegrooves.com. We'll answer within one month and there's no charge.
If you're unhappy with how we handled it
Tell us first if you're willing to, because most of this gets sorted in one email. You don't have to, and you can go straight to the regulator instead.
